This Policy applies to personal information collected through cybernet.host, our Client Area, our support channels, and any other service or communication provided by Cybernet. By providing us with your personal information, you consent to its collection, use, and disclosure as described herein, in compliance with PIPEDA and applicable provincial privacy legislation. Where required by law, we will obtain explicit consent before collecting sensitive information or using information for a new purpose not described here.
3. Information We Collect

[ PAYMENT_DATA ] Payment card or billing details are collected and processed directly by our PCI-compliant payment processors (such as Stripe or PayPal); Cybernet does not store full payment card numbers on its own servers.
[ TECHNICAL_DATA ] IP address, browser type, device information, referring URLs, and usage data collected automatically through server logs and cookies when you visit our website or use our Services.
[ SUPPORT_DATA ] Information you provide when submitting a support ticket, live chat message, or email, including any Content you choose to share for troubleshooting purposes.
4. How We Use Your Information
We use the personal information we collect to: provision, operate, and maintain the Services you have purchased; process payments and manage billing, invoicing, and renewals; respond to support requests and communicate with you about your account; send service-related notices, security alerts, and, where you have opted in, marketing communications; detect, investigate, and prevent fraud, abuse, and security incidents; and comply with our legal and regulatory obligations.
We do not sell your personal information to third parties.

We use cookies and similar tracking technologies to keep you signed in to the Client Area, remember your language and display preferences, analyze site traffic, and improve our website. We may use privacy-respecting analytics tools to understand aggregate usage patterns. Any analytics data collected is used solely to improve our Services and is not sold to third parties.

All third-party processors we work with are contractually required to protect your information and to use it only for the purposes for which it was disclosed to them.
7. Data Storage, Location & Security
Your data is stored exclusively in our data centers located in Montreal and Toronto, Canada. Data does not leave Canadian soil except where a third-party processor engaged under Section 6 operates outside Canada, in which case we require contractual safeguards consistent with PIPEDA's requirements for cross-border transfers.
We implement industry-standard technical and organizational security measures, including encryption in transit, firewalled network segments, restricted administrative access, and continuous monitoring, to protect personal information against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Data Retention
We retain personal information for as long as your account remains active and for a reasonable period thereafter to comply with legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. Support tickets and billing records are typically retained for the period required under applicable Canadian tax and financial record-keeping requirements. When information is no longer required, we securely delete or anonymize it.
9. Your Privacy Rights
Under PIPEDA, you have the right to: access the personal information we hold about you; request correction of inaccurate or incomplete information; withdraw consent to certain uses of your information, subject to legal or contractual restrictions; and request deletion of your personal information, subject to our legitimate business and legal retention requirements.
To exercise any of these rights, contact our Privacy Officer using the details in Section 15. We will respond to your request within a reasonable timeframe, consistent with applicable law.
10. International Data Transfers
While your Content and account data are hosted in Canada, certain service providers we rely on for functions such as payment processing or email delivery may process limited personal information outside Canada. Where this occurs, we take reasonable steps to ensure that provider is bound by contractual or legal obligations that provide a comparable level of protection to that required under PIPEDA.
11. Children's Privacy
Our Services are not directed to individuals under the age of 18, and we do not knowingly collect personal information directly from children. Accounts for minors may only be opened and managed by a parent or legal guardian, as described in our Terms of Service. If we become aware that we have inadvertently collected personal information from a child without appropriate consent, we will take steps to delete it.
12. Third-Party Links
Our website and Client Area may contain links to third-party websites, including partner and affiliate sites. This Privacy Policy does not apply to those third-party sites, and we encourage you to review the privacy policy of any website you visit.
13. Breach Notification
In the event of a security incident that creates a real risk of significant harm to affected individuals, we will notify affected clients and the Office of the Privacy Commissioner of Canada without undue delay, in accordance with PIPEDA's breach notification requirements, and will provide guidance on steps you can take to protect yourself.
14. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. Material changes will be announced through the Client Area or by email at least 15 days before taking effect. The current version, with its effective date, is always available on this page.
15. Accountability & Compliance (Loi 25)
In accordance with Quebec's Bill 25 and Canadian privacy standards, Cybernet has designated a Data Protection Officer. We maintain a log of confidentiality incidents and conduct Privacy Impact Assessments (PIA) for any information system project or electronic service delivery project involving personal information.
16. Data Portability and Access
You have the right to request that your personal information be communicated to you in a structured, commonly used technological format. This right applies to information you have actively provided to us and where the processing is automated.
