Large attachments are the biggest factor by far. Years of accumulated newsletters, invoices with PDF attachments, and forwarded photos add up much faster than plain text messages ever would.

A light user checking mail occasionally rarely exceeds 1-2 GB per year. An active team member handling attachments daily, or someone who never deletes anything, can use significantly more.
Signs You're Running Low
Bounced incoming mail with a "mailbox full" error is the clearest sign. Plesk's mail settings show current usage per mailbox before it becomes an emergency.
Reducing Usage Without Losing Anything
Archiving old email to local storage through your mail client, rather than deleting it, frees up server space while keeping a full record you can still search.
When to Upgrade
If multiple team members are regularly near their limit, or attachments are a core part of your workflow (contracts, design files, invoices), it's worth moving to a plan with higher per-mailbox storage rather than constantly managing around a tight limit.
